Requesting a Letter of Invitation

If you are traveling to Spain from abroad to attend AIES-25, you must meet the conditions for entry into Spain. If you are from a visa-required country (the list of countries begins on page 14), you will need to apply for a Schengen visa. We encourage you to apply early as the process could take up to 45 days or longer.

You may be required to include an Invitation Letter as part of your Schengen visa application process. To request an invitation letter, you must have proof of paid registration to AIES-25. Once you receive your registration confirmation email, follow the link provided within to complete the visa invitation letter request form. Please allow 2 business days for the processing of your request. Your visa invitation letter will be sent to the email address provided in the request form.

Important Information

• It is essential that your name and date of birth on the form matches the name and date of birth on your passport exactly. If there are any discrepancies between your invitation letter and your passport, it may result in a delay or rejection of your visa application.
• Please make sure the information you submit on the form is accurate. Incorrect, incomplete, or invalid information may result in delays in visa letter processing.
• Please submit only ONE request. Submitting multiple requests will NOT expedite visa letter processing.
• AAAI staff is unable to contact any embassies to support an individual attempting to gain entry to the conference.
